Bloomington Registar Information Sessions

This summer many of you were invited to the IUIE presentations highlighting some of the Student Records data available in the IUIE. We are planning to have repeat/follow-up sessions again in October and November. Brief summaries of four follow-up sessions are provided below to help you decide which forums are appropriate for your tasks. Feel free to attend any or all sessions as you see fit; all new and returning participants are welcome. No registration is necessary; just show up.

If you have any questions about these sessions, please email REGRIUIE or call 855-6235. Feel free to forward this email to others who may wish to attend or know about these sessions. All are welcome!

SESSION 1:
Retrieving Basic Student, Course or Degree Information from the IUIE
When: October 26, 2004 9:30 - 11:00
Where: Fine Arts 102

If you occassionally need to retrieve basic student information, some easy to use standard queries have been developed for you in the IUIE. We will direct you to a few key queries for handling these basic tasks and demonstrate how to use them. Here are a few questions that may help you decide if this session is for you:

Do you need to create an email distribution list of currently enrolled seniors in your department?
Do you need a list of students who are enrolled in a specific course for a course announcement?
Do you need a list of students who have graduated from your program?
Do you need basic summary enrollment information for your school?

In this session we will discuss report objects such as:
Student\Records\Enrollment\Student Enrollment\Standard Queries\Student Directory and Academic Data
Student\Records\Enrollment\Course Enrollment\Standard Queries\Course Enrollment Current Directory
Student\Records\Degrees\Standard Queries\Information on Conferred (Final) Degrees
Student\StudentEnrollmentServices\Control Tables\DDD2714 a conversion table that will provide the translation from old (legacy) majors into new (SIS) program/plans

Student\Records\Enrollment\Summary Data Statistics\

SESSION 2: Intermediate - Retrieving Course Related Information
When: October 29 1:30 - 3:30
Where: Woodburn Hall 120

In this session we will provide an overview of data available concerning courses. We will cover topics begining with the inventory of courses in the course catalog, then go to the courses offered for a given semester in the schedule of classes and finally to the enrollments of students in courses. Waitlist data and summary course enrollment data will also be presented. We will point you to a few of the key report objects in the IUIE for retrieving basic and detailed course information. If you were a FOCUS programmer OR are comfortable manipulating raw data with other tools, such as Excel, this session may be for you. If you want to take a look at some of the report objects that will be covered in this session, see the list below:

Student\Records\Course Catalog\Data Extracts\Course Inventory
Student\Records\Schedule of Classes\Standard Queries\Schedule of Classes Bulletin for Publishing (PDQ)
Student\Records\Schedule of Classes\Data Extracts\All Classes, Meetings, Instructors, Associations
Student\Records\Waitlist\

Student\Records\Enrollment\Course Enrollment\Standard Queries\Course Enrollment Current Directory
Student\Records\Enrollment\Course Enrollment\Data Extracts\Enrollment by Org
Student\Records\Enrollment\Summary Data Statistics\

SESSION 3: Intermediate - Retrieving Student Populations
When: November 2, 2004 9-11
Where: Fine Arts 102

If the basic queries discussed in SESSION 1 were not sufficient for your retrieval needs, data groups may be the answer. In this forum we will provide an overview for retrieving student populations from an assortment of data groups. Key report objects will be covered that allow you to retrieve currently or previously enrolled students, or students who are still active in your program but may not be enrolled, or students who have received a degree in your program, or students who have taken specific courses over time. If you were a FOCUS programmer OR are comfortable manipulating raw data with other tools, this course may suit your needs. Some advanced queries (SQL) and advanced IUIE functions will be demonstrated.

In this session the following report objects will be discussed:
Student\Records\Enrollment\Student Enrollment\Data Extracts\Enrollment by Program Plan Stack

Student\Records\Enrollment\Course Enrollment\Data Extracts\Enrollment by Org
Student\Records\Student Term\Data Extracts\Student Term
Student\Records\Program/Plan Stack\Student Program Stack
Student\StudentEnrollmentServices\Control Tables\DDD2714 a conversion table that will provide the translation from old (legacy) majors into new (SIS) program/plans

Student\Records\Degrees\TBA

SESSION 4: Advanced Retrieval Topics and Q & A
When: November 5, 2004 1:30 - 3:30
Where: Woodburn Hall 120

In this session we plan to provide some information about security, new data fields, modified data fields, advanced IUIE features (upload feature),and helpful SQL. If you are a FOCUS programmer OR are comfortable manipulating raw data with other tools, such as Excel, this session may be for you. We have a short agenda but we plan to spend time for Q&A with a panel of data experts available to field your questions. Here are some questions to help you decide if this is the session for you:

Do you want to understand more about the security structure in the IUIE?
Do you want to ask others how they have handled certain data needs?
Do you need to retrieve data for a population of students not identifiable with SR data elements (e.g., upload UIDS into a query)

Do you need to understand some of the derived fields in the IUIE?
Do you find it difficult to tell what field to use for various purposes (e.g., official residency and tuition residency)?

Do you want an update on where we are with conversion and the final phases of the project?
