How do I get access to the IUIE?
If you do not already have access to the IUIE, then go to the IUIE website (http://onestart.iu.edu/ie) and click on the Register tab. The Information Technology Policy Office and Security Accounts will then ascertain if you have a user agreement on file with the University, and if you do, an account will be created for you.

Once I have an IUIE account created, what do I have access to?
Once you have been granted access to the IUIE, you are set up with “University Internal” access. This means that you have access to those report objects which have been deemed as available to the IU community (internal). In Student Records, “University Internal” reports include Course Catalog, the Schedule of Classes, as well as documentation and various control tables. While this is labeled University Internal, it could still be considered restricted data, and caution should always be advised when using data available in the IUIE.

Why do I get the following error message?

This is a web issue. From time to time, the server is too busy and the IUIE does not get a response. Try again in a few minutes. If you continue to get an error contact iuie_help@indiana.edu.

I would like to get a list of my majors. How do I access that?
Once the appropriate security has been set up for you, you will be able to use certain report objects in the IUIE to get your student populations. If you would like to get a list of active students with your major, then you could use the Program/Plan stack datagroup (student\records\program/plan stack\student program stack). This does not show if students are enrolled. If you would like to see which of your students are enrolled, you can use the Student Directory and Academic Data standard query (PDQ), available in the student\records\enrollment\student enrollment\standard queries\Student Directory and Academic Data. Some additional tools could be the Student Term datagroup (technical name: SR_STU_TERM_GT) or the Enrollment by Program Stack datagroup (technical name: SR_ENRL_BYSTK_GT). You can select a particular term, major, and derived enrollment status = ‘enrolled’.

I would like to get labels for my student population. How can I do that?
Currently, the functionality to produce labels from the IUIE has not been implemented yet. In the interim the IUIE_docs website includes instructions for generating labels from a spreadsheet. To view that document, go to Help Documents (Basic)/Creating Mailing Labels.

Help! In legacy, I had access to demofile, and now I have access to the Enrollment by Program Stack datagroup. This datagroup doesn’t seem to have any information on projected graduation date. How would I get this information?
Data is structured differently in the new environment. All academic objective type information is now housed in its own datagroup, the Student Program Stack datagroup (SR_STU_PGM_STK_GT). In this datagroup, there is a field called Expected Graduation Term (STU_EXPCT_GRAD_TERM_CD). This is the closest match to the Academic Objective Date field in IUIS.

I heard that there will no longer be WZs and WXs used to denote drops and section changes during the first week of classes. How will I be able to identify students who have changed a section?
In SIS, when a student drops a class during the first week of classes, the enrollment status for that particular course (STU_ENRL_STAT_CD) will change from E to D. This replaces WX. When a student changes a section, the dropped section will show a D, for dropped and a new row will be entered on the enrollment table with a E for enrolled.

I’m confused by the way the term statistics work in SIS. If I want to get a student’s GPA during the middle of a semester, is the GPA up to-the-minute or is it only refreshed in batch at the beginning and end of a term?
Everytime there is a change to the enrollment table (a class is dropped or added, or a grade is changed or added), the enrollment engine is invoked. Therefore, for every changed grade, the term statistics will be reset to reflect any changes made.

There are so many GPA fields! Which is the ‘official’ GPA that will appear on the transcript?
The IUGPA Cumulative GPA (STU_IUGPA_CUM_GPA_NBR) will appear on the transcript, and will be the GPA used for most queries in the IUIE.

How can I send an email out to those students who are on the degree candidate list? Where is that information available in the IUIE?
On the Student Program Stack datagroup (SR_STU_PGM_STK_GT), there is a field called Degree Checkout Status (STU_DEGR_CKOT_STAT_CD) which will indicate that a student has ‘applied’ for a degree, or if it is ‘in review’.

In legacy, I was able to look at the Waitlist Summary Statistics through the Enrollment Information Systems menu. This information is not available in SIS, will it be available in the IUIE?
The Waitlist Summary Statistics (IE_SIS_SR_WAITSTATS) will be available in the IUIE, but also from the Registrar’s home page (http://registrar.indiana.edu)

I work in a course department, and an instructor just came to me and said that I had to retrieve his rosters for him. Is this true? How do I go about doing this?
The IUIE has a report object called Electronic Enrollment Rosters (IE_SIS_SR_ELECTRONIC_ROSTERS) which can be accessed by a departmental representative and then passed out to instructors. Rosters cannot be printed in SIS, but can be printed from the IUIE, thus the need for a proxy to run rosters for faculty.

I’m confused. I just ran a report from the Student Term datagroup (SR_STU_TERM_GT), and I got back students who are working on a minor in my department, but have no major. Did I do something wrong?
Currently, the academic plan fields that appear on the student enrollment and term datagroups include all ‘plan types’. The current ‘plan types’ are ‘major’, ‘minor’, ‘preparatory’, and ‘certificate’. We are working on changing the logic so that minors are not included in the plans available on the enrollment and term datagroups.

I just ran a Student Directory and Academic Data report (IE_SIS_SR_SDAD), and it seems wrong! I have students on my list that haven’t been in my program in a while. What gives?
Currently, your security is set up so that every person who has a current effective row on the Student Program Stack datagroup that matches your department, will be within your dataset. To work around this issue, it is suggested that when selecting students within your major that you also select primary program (ACAD_PRM_PGM_CD) and academic group (ACAD_GRP_CD) so you get those students who are enrolled in your program for the term you are querying. For example, if you are a staff member in HPER, you might get 900 students, but only 800 of those students will have a primary program code of HPER1. The others may have an active program stack, but were not term activated in the HPER1 program.
